Notes of Christmas Festival Meeting – 04 November 2010

Notes of the last meeting were agreed.

Stalls

The bookings are good and about equal for the three nights. Mostly local stallholders.

Entertainment

The Plains: Rick and David met with the Fire Officer and agreed a revised site for the stage on The Plains. This will now be at the corner of Dartmouth Square outside the Italian restaurant. This is not ideal but fulfils the Fire Officer’s requirement to keep the riverside of The Plains clear of obstructions. Power available from Dartmouth Inn. Additional lighting would be helpful – Rotary have large lights.

Entertainments will commence at 5.00. Royal Seven Stars and Dartmouth Inn are sponsoring entertainment.

Most of the entertainments are booked.  Final details to be confirmed.

Paul requested that Crooked Tempo samba band be invited. Agreed they would be asked to process through the town rather than doing a static performance. Paul and Rick to liaise and confirm details.

Father Christmas: Shelly has allocated a pitch in The Plains for Rotary to run a Father Christmas Grotto. Ruth to confirm with Rotary.

The Rotherfold

Ruth had been contacted by SHDC regarding payment for use of The Rotherfold. Joe Travers had been in touch with them about lighting and use of the area. Ruth advised SHDC that only the road was used as the paved area was not adequately lit. Ruth to contact Joe to check on plans.

Litter and Waste Collections

Shelly and David met with Lorraine at SHDC to confirm arrangements for litter collection. Born Hectic are paying SHDC £500 for the litter collection. Suggested next year a litter bond would be included with the stall hire. Agreed to begin negotiations with SHDC earlier next year to try and agree a way of SHDC contributing to this event.

Suggested large wheeled bins be provided in future for public waste as much of the litter comes from the public rather than the stallholders.

Stewards

Probus, Young Farmers, the Rowing Club and Boating Association have been approached to help with stewarding. Details to be confirmed.  Meeting for stewards to be arranged prior to the first event to include the police.

Central control point

This will be outside JAG at the bottom of Fore Street. A plan of the town showing stalls and entertainments will be displayed and lit. Andy to contact JAG or ask Esther about supply of power.

Safety Advisory Group

The risk assessment has been completed and sent to all members of the Safety Advisory group. Pruw also to receive a copy.

Traffic and parking

David is following up contacts at Watsons for stall holder parking.

DCC had offered to supply cones with a delivery charge. Agreed that we should try and put them out in St Katherine’s Way as a psychological deterrent to people who might disobey the double yellow lines. A steward in fluorescent jacket wandering around would also be a deterrent. Ruth to contact DCC to ask the cost or if we can collect the cones.

Park and ride: Ruth to contact Mike Hannaford to confirm the arrangements.

Publicity and advertising

Draft programme circulated and agreed.

Totnes Times will do double page spread on 24 November and 1 December.

Christmas Lighting

The lights will be erected on 14 and 21 November and switched on Tues 23/Weds24.

Funding

Esther distributed Christmas Tree stickers.

The Christmas ball is on Saturday 4 December.

It was agreed that sponsorship should be sought for next year with the possibility of an individual being appointed who is experienced in finding major sponsorship.

AOB

Shelly had been approached by the Green company wanting to have a stall.

This led to a suggestion  of a move towards promoting the late night shopping as an environmentally friendly event.

Date of Next Meeting

This will be in mid January. Date to be circulated at the beginning of the year.
